Skipton Sheep Day
"The Town Council is not large in staff numbers, so we work tirelessly throughout the year to ensure any event is of quality and showcases the best of the local area.
We used Event Owl in 2015 during their trial, not only to see if it would reduce our own event administration burden , but also to support a website we feel is very worthwhile. It would allow us to give something back to our exhibitors – time. We have been using a paper based system for years, either posted out or more recently via email. Time inefficient for both parties! These systems led to much data entering, much chasing missing information with letters, phone calls and emails, and unfortunately errors occurring as we were inputting form after form. On occasion we lost hours of information due to ‘crashes’.
The Event Owl team loaded our form information, sent emails to potential exhibitors, and posted on social media our Sheep Day event for us. We also provided a web link from our website to theirs. There was a surprising take up from exhibitors using it for the first time, who we know now use it to apply to other events in a fraction of the time they used to. The system is ALWAYS up to date. The only occurring errors in applications are those made by the exhibitor, as we cannot touch the live data, a good thing! No more blaming us for missing tables, electric, chairs!!
All we had to do was check our applicant’s details and press accept! The system sent the exhibitor our decision. Now and again we had a call to ask why they had been declined, but these were decisions we would not have expected the system to do for us!
Exhibitor information was available to us in several formats, as a simple list, as a useful Excel based spreadsheet and as easy to print form. ALL risk assessments, insurance details and FAS ratings were gathered before an order could be placed. Financial information summarised with swift transactions into our account. We accepted the Event owl fee with no quibble, money well spent, less stress for a start! We were emailed each time we received a new applicant which included a link to our dashboard.
The Event Owl team were on hand throughout to prompt and guide us. Even at weekends. On event day itself, we simply logged in to our mobile devices and brought up exhibitor information there and then if someone had a query. All health and safety details were either printed off or were accessible via the internet log in.
Not only are we using the system again this year, but we recommend it to any considerate organiser who cares as much about dotting the i’s, crossing the t’s and saving time on their own paperwork, as well as their exhibitors.”
