TEST EVENT OWL FOR FREE!

We listened to many organisers who asked us if they could trial the system for free before committing to use Event Owl to take trader bookings.

No problem. Any information in the Test can subsequently be duplicated and later tweaked and used for actual events later.

Here's how:

1. Under the Organisers tab, click Add an event. You will need to Register with us so that we can create your profile and then save your event information.

2. Once registered, you'll be returned to the Add an event page and be asked to complete some basic event information. Once complete, click Continue. We will then assign an event number and store the information in your organiser's profile.

3. Then start completing the relevant sections. In the business details section, click Private when reaching this field.

For test purposes, the information in the sections that follow only needs to be kept very simple. One or two words in most fields is ample (e.g. Test Event). You also need a couple of £0 - £5 valued test exhibitor packages (your stall fee information). 

4. You'll need to create a Stripe account, or connect to your existing account (are you sure this is the bank account where you will want your traders money to go???). This is free to do and takes only a few minutes. Please follow the link during onboarding when prompted and follow their instructions. Alternatively, click on your name - top right, then on the blue Stripe button. If you are a freelance event organiser, you can create several Stripe accounts in your Stripe dashboard for each event you're supporting. Event Owl and Stripe will ask you to select which account you want to use each time you create your events, when you click Connect to Stripe.

5. Check over your event. All the key boxes should be ticked (you don't need to complete sponsors or the embedded code area). Once you're happy, Submit for approval. We will check it for you and apply the special test fee rate of £0. We will send you a notification once it's been approved.

Then start testing:

1. Sign in to your profile. Your event will not be listed on our main events listing page if you ticked the make it private box. Under My Organised Events, click on the event name, or the preview link. This will open your private event page. Copy the full navigation bar address.(i.e. https://­www.­xyz.­co.­uk/­eventname) if you wish to share it with someone.

2. Time to make some test bookings. You'll need a couple of blank/test documents to upload (MS Word doc's or PDFs are fine).

3.  Select an exhibitor package (add a number in the boxes, or check a box, etc.), then click Add to basket, go to the application form, it will switch you to your Exhibitor profile (or ask you to sign in or register if you've signed out). You will then see your application form, and the order will have been added to the 'basket' (order page). Work through the questions until you complete the three stages. The Order page will display 'Edit form' once fully completed.

4. Happy with your order? Click Apply.

  • £0 value orders - If your exhibitor packages are £0, you will not be asked for any card details. Your application/­order will be sent to your dashboards, and you'll experience the automated status email notifications, dashboard view and reports views.  
  • £monetary value orders - This opens the Stripe checkout, which is where you will enter your payment option and information. It is up to you whether you progress through checkout to fully test the system. In Stripe you can refund yourself, but the money will take 7 -10 days to return with it being your first transaction with them, unless you already have a Stripe account.
  • All done? Go to your Organisers tab, Click My Organised events and in the far right column you'll see you Exhibitors (1) Click on this link to open the page where all your orders will be listed
  • Open the order - Application details - opens the trader's application form. Download VAT invoice as PDF File - opens what they have actually booked. They get a different version of this, so never send them your copy!
  • You will see it says either Paid Full (for £0 orders) or Not Paid Yet/Awaiting Approval, you'll also see Approve and Set price adjustment.
    • ​Approve - Do not approve without checking their full form details, social media/website, all their documents, your current trader list to avoid duplication and your layout to make sure you've room! Otherwise decline them
    • Set price adjustment - If you wish to apply a discount (before you approve them) without giving them a promo code, that's where you do it. Also, and only if they have agreed to being surcharged, say for a specific stand that you first need to assess their suitability for, you can add a price change BEFORE you click approve.
    • Decline - if they are not suitable for your event click decline.
    • We will send them polite automated emails in all eventualities to reduce the phone calls and emails.

Now, there is waaaaay more to Event Owl than these basics, so have a trial and then we can talk you through all the other benefits and options like the deposit scheme, early bird options, prmootional codes etc.

If you are happy with your trial, great! 

Now, enter all your event information using the same stages. You can still test your full event before going live; just keep it in private mode.
